What the integration does
The Instudi app for Zoom brings each counselor’s upcoming Zoom meetings into Instudi, so they sit next to the students, families and notes they belong to.
- Shows your upcoming Zoom meetings in Instudi’s Meetings and Calendar views, with the topic, time and join link.
- Keeps them up to date when you create, reschedule or delete a meeting in Zoom.
- Lets the Instudi notetaker join the meetings your workspace records, as a visible participant.
The app only reads meeting information. It never creates, changes or deletes your Zoom meetings, and it does not access recordings, chat or contacts through the Zoom API.

Before you start
- An Instudi account. Start a free trial at app.instudi.com if you don’t have one.
- A Zoom account on any plan.
- Each person connects their own Zoom account. Connecting yours does not give Instudi access to colleagues’ meetings.
Add the app
- 01Sign in to app.instudi.com.
- 02Open Settings, then Integrations.
- 03In the Zoom card, click Connect Zoom.
- 04Sign in to Zoom if asked. Review the permissions and click Allow.
- 05You return to Instudi with the message “Zoom connected.” Your upcoming meetings appear within a few minutes.
Use the app
- Meetings and Calendar: every upcoming Zoom meeting appears with its topic, time and join link. Click Join to open it in Zoom.
- Changes in Zoom: when you reschedule or delete a meeting in Zoom, Instudi updates on its own. You don’t need to do anything.
- Notetaker: if your workspace records meetings, the Instudi notetaker joins as a participant named “Instudi Notetaker” followed by your name. After the meeting, notes, action items and a draft family recap appear on the meeting for you to review. Tell participants the meeting is recorded.
- Waiting rooms: if your meeting uses a waiting room, admit the notetaker like any other participant.
Remove the app
You can remove the app from either side. Both stop Instudi’s access to your Zoom account.
- 01From Instudi: open Settings, then Integrations, and click Disconnect in the Zoom card. Instudi deletes your Zoom tokens and stops syncing.
- 02From Zoom: sign in to the Zoom App Marketplace, open Manage, then Added Apps, find Instudi and click Remove. Zoom notifies Instudi, which deletes your Zoom tokens, cancels notetaker sessions scheduled for your upcoming Zoom meetings and stops syncing.
Removing the app never deletes or changes meetings in your Zoom account. You can connect again at any time from Settings, then Integrations.
Your data after removal
- Your Zoom access and refresh tokens are deleted immediately.
- Meeting entries already in Instudi stay in your organization’s workspace until your organization deletes them. To have them deleted, email [email protected].
- How Instudi handles data is described in the privacy policy.
Troubleshooting
- Meetings don’t appear: check that the Zoom card in Settings, then Integrations, says Connected. Only upcoming meetings are synced.
- The Zoom card shows an error: click Disconnect, then Connect Zoom again.
- The notetaker didn’t join: check the waiting room, and make sure the meeting link includes its passcode.
